In short
We collect what we need to run your club’s workspace and keep it secure. We never sell personal data or use it for advertising, and you can ask to see, correct or delete what we hold.
1. Who we are
Rotary Management System is run by REATECH Technologies, Nairobi, Kenya. This notice explains how we handle personal data about the people who use the service.
If you are a member of a club, your club decides what information it keeps about you and is responsible for it. We look after that information on the club’s behalf under the Data Processing Agreement. For questions about your membership records, ask your club secretary first.
2. What we collect
- Account details: your name, email address, phone number and a hashed password.
- Sign-in records: when you signed in, and your IP address, to keep accounts secure.
- For people who register a club: the club’s details and your role in it, and the date you accepted our terms.
- Messages you send to REATECH support.
3. How we use it
- To provide the service and let you sign in to your club (to perform our contract with the club).
- To keep the service secure, prevent misuse and investigate problems (our legitimate interest).
- To send you messages you need, such as sign-in links and notices about your account. We do not send marketing without your consent.
- To meet legal obligations, such as keeping financial records.
5. How long we keep it
We keep your account while you belong to a club or work with REATECH. Security records are kept for up to 12 months. Financial records are kept for as long as Kenyan law requires, currently seven years.
6. Your rights
Under the Kenya Data Protection Act 2019 you have the right to:
- be told how your data is used, and get a copy of it;
- have wrong data corrected, and ask for data to be deleted;
- object to processing, including for direct marketing;
- take your data to another service, where that applies.
